The logistics department plays a key role in ensuring logistic performance for the benefit of the programs conducted in the various project countries. The department consists of the Amsterdam Procurement Unit (APU), the Field Support Unit, the End-to-End Supply Chain Excellence unit, and a Quality Assurance pillar. APU is responsible for processing the orders from some 26 project countries and delivering a wide assortment of medical and non-medical goods to the project countries within the required timeframe.

With immediate effect our Logistics department is looking for a:

Compliance Support Officer (100%)

(Amsterdam based)

Are you an organised, assertive person who works with accuracy? Do you enjoy, get energy from not only competently maintaining an administrative system, but also developing a deeper understanding of and overseeing complex supply chain processes? Then you might be our perfect new colleague who will know what needs to be done and undertakes to, among other duties, ensure deviations, complaints and associated claims are centrally registered and appropriately handled by the relevant stakeholders.

Main objectives

In this position you contribute to MSF-OCA meeting the applicable regulatory requirements and notably those in relation to the Good Distribution Practice (GDP) Guidelines. In this regard you ensure adequate liaison with the operational procurement and distribution supply chain functions. In collaboration with, and steered by, the (deputy) GDP Responsible Person (RP) you support implementation of measures and process improvements to further regulatory compliance.

Responsibilities and activities

Process mapping and regulatory standards

Monitoring and review of SOP’s, work instructions and documentation, and contributes to internal process improvements purporting to meeting GDP/regulatory standards.
Supports GDP compliance related to procurement processes, documentation including up-to-date records of periodic checks of partners’ licenses- Supplier Validation.
Supports maintaining and updating required documentation (including licencing / registrations and contractual agreements) regarding clients- Customer Validation.

Deviations, complaints, and claims handling

Focal point deviations: ensures all deviations are centrally registered, communicated to- and handled by the relevant stakeholders; Identifies key trends and patterns and proposes mitigation /solutions where relevant; provides operational support for complaints handling and related CAPA’s to the (deputy) RP.
Focal point complaints: ensures all complaints are centrally registered, communicated to- and handled by the relevant stakeholders, including LSPs/other external partners; Identifies key trends and patterns and proposes mitigation /solutions where relevant; provides operational support for complaints handling and related CAPA’s to the (deputy) RP.
Focal point claims: ensures all claims are centrally registered, communicated to- and handled by the relevant stakeholders and in notably in concertation with the external Logistics Services Providers (LSP) Manager where it concerns claims related to LSPs.

Quality Management System (QMS)

Ensures accurate data-entry, maintenance and optimisation of the electronic – Quality Management System.

Training

Facilitate GDP/compliance training programs for MSF staff, including training planning and ensuring adequate training records are kept.

Additionally, you work in close collaboration with, and function as a back-up for, the Administrator Document Management System.

Candidate profile

You are an enthusiastic, flexible person, capable of working independently and with accuracy. At the same time, you are a team player with initiative, a hands-on mentality and tenacity with regard to following-up on issues and files.

You have at least 2 years’ experience with quality assurance, supply chain management or procurement.
Higher vocational education or equivalent experience and certification in a relevant field.
You are (self)organized, accurate and proficient with Microsoft software applications and electronic information systems.
Extensive knowledge of (MSF OCA) procurement, logistics and operational processes.
Familiarity with the domain of quality assurance and knowledge about GDP guidelines and requirements.
Good communication skills and fluency in English (speaking and writing) are essential; Dutch is a strong asset.
Experience working in an international setting, fast-paced environment, multitasking and working with multiple deadlines.

We offer

A challenging position within a stimulating professional working environment in an international organisation.

A contract for one year with renewal subject to performance appraisal, based on a full-time appointment for 40 hours per week.

Based on a Dutch contract, a gross monthly salary in grade 5 between €2,985 and €4,037 depending on relevant professional working experience and based on a full-time appointment.
